Dark Horse Custom Solutions, LLC (DHCS) is responsible for the personal information described in this notice. This policy covers our public business website and related inquiries. A separate project agreement or notice may apply to customer systems, employee records, or project data handled under a contract.

Information we receive

  • Information you provide: your name, email address, optional company and telephone number, inquiry topic, and message when you use our contact form or contact us directly.
  • Technical information: the hosting and security services may receive IP address, requested page, date and time, browser or device details, referrer, and error or security information needed to deliver and protect the site.
  • Form protection: a short-lived, keyed hash of the connecting IP address and an attempt counter help limit repeated submissions. The form checks a security token and a hidden spam field. It does not require a third-party CAPTCHA.

How we use information

We use inquiry details to respond, discuss potential work, provide requested assistance, administer a project relationship, and handle privacy or accessibility requests. Technical information supports delivery, security, troubleshooting, and abuse prevention. We may also use or retain information as needed to comply with law, maintain appropriate records, or establish or defend legal claims. A contact inquiry does not subscribe you to a marketing list.

Who receives information

Website hosting and infrastructure providers process website traffic; email and communications providers process messages; and authorized DHCS personnel or service providers may access information needed to respond or support operations. Professional advisers, insurers, or authorities may receive information when reasonably necessary for their role or required by law. A business transfer may require disclosure subject to applicable protections. We do not sell website inquiry information or share it for cross-context behavioral advertising.

Website services

The current hosting, email, and technical-record practices for this website are described below. External websites reached through ordinary links receive information under their own policies when you visit them.

Our website is hosted by Kinsta and uses its integrated Cloudflare services for website delivery and security. These providers may process IP addresses, requested URLs, browser information, timestamps, and technical or security logs to operate, protect, and troubleshoot the website.

We use Microsoft 365 for business email, including receiving and responding to website inquiries. Contact-form messages pass through the website’s configured email-delivery service to our business mailbox. The DHCS contact plugin does not maintain a separate database of submitted messages.

Our custom website theme and contact plugin do not add advertising cookies, behavioral analytics, session recording, or third-party CAPTCHA services. Hosting and security services may use cookies or similar technologies for their enabled functions. WordPress uses cookies for administrator login and preferences.

Technical logs and backup copies are retained according to the applicable provider’s service settings and retention practices. We update this disclosure when we change the services or tracking features used by the website.

Cookies, analytics, and browser signals

Our custom website design does not include advertising pixels, behavioral analytics, session recording, external font requests, or embedded social feeds. It does not sell or share personal information for targeted advertising. Global Privacy Control and Do Not Track signals therefore do not need to disable those activities in this configuration. Essential delivery and security processing still occur. The website services information above describes additional hosting or security processing and any separately enabled services. Applicable privacy choices also apply to those services.

How long information is kept

We retain information only for the purposes described here, subject to legal recordkeeping, active projects, dispute resolution, and security needs. Contact-form messages are delivered to our business mailbox. The contact form does not maintain a separate database of message submissions. Email-system copies and backups may persist under their own retention settings. Anti-abuse counters expire after 10 minutes; expired entries can remain in storage until WordPress or its cache performs cleanup.

We retain inquiry correspondence for as long as reasonably necessary to respond, complete relevant follow-up, and address questions about the inquiry. When an inquiry becomes a project, related correspondence may become part of our project records.

We determine retention periods by considering ongoing customer relationships, project support and warranty needs, contractual obligations, applicable recordkeeping requirements, and the need to establish or defend legal claims. Records subject to an unresolved dispute or legal preservation requirement may be retained longer.

We review retained information periodically and delete information that is no longer needed for these purposes, subject to applicable obligations. Deleting an active record may not immediately remove copies from backups or email recovery systems; those copies remain subject to the provider’s retention and deletion processes.

The website’s contact-form attempt counters expire after 10 minutes, although expired entries may remain until routine system cleanup. Hosting and security logs follow the relevant provider’s retention settings. Your requests and choices

If you disagree with our response, contact us with “Privacy appeal” and explain why; you may also contact the relevant privacy regulator or attorney general.

Security and sensitive information

We use reasonable safeguards appropriate to the information and services involved, but no internet transmission or system is completely secure. Please do not submit credentials, sensitive personal information, or confidential industrial files through this form. Contact us to arrange an appropriate transfer process for project material.

Children

The website is intended for business users and is not directed to children under 13. We do not knowingly solicit personal information from children under 13. If you believe a child has provided personal information, contact us so we can address it.

DHCS is a United States business. Your inquiry may be processed in the United States and in locations used by our service providers. Where additional local protections apply, those protections continue to apply; this notice does not waive them.
